Voting will begin on May 27th and final votes will be tallied at the June 1st Annual Parent Committee Membership Meeting. What LFM/YVMSA Parent Committee board positions are available?
LFM/YVMSA Parent Committee positions are open to any LFM/YVMSA parent and do not require previous experience. The essential board positions are Chair, Vice Chair, Treasurer, and Secretary. Other positions can be created by the Board or Parent Committee as needed. One board member may hold multiple positions simultaneously, with the exception that the same individual may not hold the offices of both President and Treasurer simultaneously. The minimum number of required board positions to maintain 501(c)(3) status is three.
How do LFM/YVMSA Parent Committee board positions get filled?
The current committee seeks out nominees for each open position in April or May and presents candidates to LFM/YVMSA Parent Committee to be voted on before the last meeting of the school year. Nominations must be accepted by the nominee. Committee board positions will be confirmed at the May LFM/YVMSA Parent Committee meeting, or first available meeting. Non-returning committee members should announce resignations by the April meeting.

What are the basic responsibilities of board members?
● Attend committee meetings as scheduled throughout the school year (monthly, plus as needed for special events).
● Attend board meetings as scheduled throughout the year,
● Act as a liaison between the committee organization and the school.
● Help recruit and train your successor.
● Keep your digital and/or printed binders up-to-date; maintain good files.
Board Positions Elected Each Year
The following positions MUST be filled in order for the Parent Committee to be in compliance with its bylaws and function as a 501(c)(3).
● Chair/President
● Vice-Chair/Vice-President
● Treasurer
● Secretary
CHAIR/PRESIDENT
Time Commitment: 2-5 hours per week, or 80 - 200 hours per year
Busiest time of the year: Busiest at the beginning of the year but flattens out quite soon; responsibilities can pick up in May/June when responsibilities transition. Additional special project as desired.
● Responsible for setting agendas for all LFM/YVMSA Parent Committee meetings.
● Supervises, directs, and coordinates the work of the LFM/YVMSA Parent Committee
● Serves as an ex officio member of all steering committees.
● Works directly with the school head guide and LFM/YVMSA directors to maintain a supportive relationship between the school and the LFM/YVMSA Parent Committee
● Has signing authority on the bank account
● Distributes a monthly email or newsletter highlighting Parent Committee news to encourage streamlined messaging and reduce information overload to LFM/YVMSA families. The chair can request updates from committee chairs.
● Updates the LFM/YVMSA Parent Committee school bulletin board or delegates this task as needed.
VICE-CHAIR/VICE PRESIDENT
Time Commitment: 1-2 hours per week, or 40 - 80 hours per year
Busiest time of the year: Busiest at the beginning of the year but flattens out quite soon; responsibilities can pick up in May/June when responsibilities transition.
● Serves as the Chair-Elect of the committee
● Assists the Chair and other committee members to ensure that LFM/YVMSA Parent Committee events are successful.
● May serve as the Chair in meetings when the Chair is unable to attend.
● Supports fundraising and events.
● Other duties may include welcoming new families, organizing Class Leads, encouraging participating in the parent committee, and providing feedback on the parent handbook.
● Can be appointed to manage Treasurer responsibilities depending on need.
● May serve as the Secretary in meetings if the Secretary is unable to attend.
● May have signing authority on the bank account
TREASURER
Time Commitment: 1 hour per week, or approximately 50 hours per year
Busiest time of the year: Beginning of the year; May when submitting the IRS Form 990-N (e-postcard).
● Custodian of all financial records, budget and funds of the LFM/YVMSA Parent Committee.
● Acts as the first signatory on all LFM/YVMSA Parent Committee bank accounts and pays bills and reimbursements as required.
● Prepares and presents a budget report monthly.
● Informs Board members of any unusual financial findings or problems.
● Maintains an accurate system of bookkeeping to facilitate real time reporting of budgets, income and expenses by category as needed.
● Files the IRS Form 990-N (e-postcard) annually in May.
● May serve as the Secretary in meetings if the Secretary is unable to attend.
SECRETARY
Time Commitment: 1 hour per week, or approximately 50 hours per year
Busiest time of the year: Following each LFM/YVMSA meeting; beginning of the year.
● Records accurate minutes of LFM/YVMSA Parent Committee board, committee, and general meetings as well as recording voting.
● Is prepared at every meeting to present the records of any previous meeting and a copy of the bylaws
● Forwards minutes to chair for review and submits minutes to be emailed to members.
● Co-manages the contact@salemlfmyvmparents.org email account and reply by consulting with other pertinent committee members.
● Organizes and maintains a database of the LFM/YVMSA Parent Committee and general parent membership.
● Maintains an accurate calendar of LFM/YVMSA Parent Committee and school event.
